Office Manager/PA
Are you an organised, proactive professional who thrives in a fast-paced, creative environment? We are a landscape design company seeking an experienced Office Manager / Personal Assistant to play a pivotal role in keeping our business running smoothly.
This is a dynamic, hands-on role where no two days are the same. You’ll be the backbone of our operations—supporting our Directors, coordinating workflows, and ensuring our office and team function efficiently.
About the Role
As our Office Manager / PA, you will be the first point of contact for clients and a key support to both our design and construction teams. You will oversee day-to-day office operations, manage administration staff, and ensure systems, processes, and compliance requirements are maintained to a high standard.
Key Responsibilities
Act as the first point of contact for new clients and prepare information for initial site meetings
Coordinate and schedule appointments, meetings, and staff events
Supervise and support administration staff
Oversee daily office operations, including phones, mail, and front-of-house duties
Develop and implement office systems, policies, and procedures
Manage office supplies, inventory, and equipment
Lead Health & Safety management, including compliance, systems, and training records
Maintain and update office systems, files, and databases
Prepare reports and presentations for the Directors
Ensure compliance with legal and regulatory requirements
Provide high-level administrative support to the Directors
Manage uniform stock and company assets
Oversee fleet management, including servicing, registrations, and WOFs
Manage all HR processes, including onboarding, staff records, leave, wellbeing, and policy development
Handle monthly client invoicing
What We’re Looking For
Proven experience in an Office Manager, PA, or similar role
Strong leadership skills with the ability to motivate and support a team
Excellent communication and interpersonal skills, confident working with clients, trades, and management
Exceptional organisation and time management, with the ability to juggle multiple priorities
Advanced knowledge of Microsoft Office, Google Workspace, and office systems
Confidence in learning, implementing, and improving software systems
A proactive, solutions-focused mindset with strong problem-solving ability
High level of attention to detail and accuracy
Professional, reliable, and able to maintain confidentiality and integrity
Ability to work both independently and collaboratively
