About the Role

Kiwiana Immigration Limited is seeking a highly organised and detail-oriented Immigration Assistant to support our Licensed Immigration Advisers in delivering accurate, compliant, and timely immigration services for our Auckland office.

This role requires a high level of professionalism, discretion, and the ability to manage complex administrative workflows within a fast-paced environment.


Key Responsibilities

  • Prepare, review, and organise immigration documentation to ensure accuracy, completeness, and compliance with Immigration New Zealand (INZ) requirements

  • Maintain and update detailed case files, internal trackers, and document management systems with a high level of precision

  • Coordinate the end-to-end administrative lifecycle of immigration applications, ensuring all stages are completed within required timeframes

  • Assist in analysing Requests for Information (RFI) and Potentially Prejudicial Information (PPI), identifying documentation gaps and coordinating timely responses

  • Liaise professionally with clients, accredited employers, and external stakeholders to obtain required information and provide updates on application progress

  • Draft structured and well-presented supporting documents, cover letters, and preliminary submission content under supervision

  • Conduct thorough document checks to ensure consistency, validity, and adherence to INZ formatting and evidentiary standards

  • Monitor application deadlines and proactively follow up to mitigate delays or compliance risks

  • Identify and escalate discrepancies, risks, or potential compliance issues to senior team members in a timely manner

  • Support the implementation and continuous improvement of internal processes, templates, and workflows

  • Maintain strict confidentiality and ensure compliance with data protection and privacy requirements

  • Assist with reporting, file audits, and quality assurance activities to uphold internal service standards

  • Provide general administrative and operational support to the team during high-volume periods


Minimum Requirements (Essential)

  • Minimum 1 year experience in an administrative, operational, or management role

  • Minimum Level 7 qualification (Bachelor’s degree or equivalent)

  • Strong analytical, organisational, and time management skills

  • Excellent written and verbal communication skills with a high level of professionalism

  • Ability to manage multiple priorities and meet strict deadlines

  • High attention to detail and accuracy

  • Proficiency in Microsoft Office and digital systems


Work Eligibility (Strict Requirement)

  • This position is NOT open to AEWV (Accredited Employer Work Visa) holders

  • Applicants must have full and unrestricted work rights in New Zealand
