Administration Support Officer (1 Year Fixed Term Contract)

Our Waihi Operation in the North Island of New Zealand is an underground gold mine. A recent consent for the Waihi North Project, a new mine to be developed 6km north of the existing operation has provided a long term extension of mine life providing our 400 staff and contractors, and the people of Waihi, an assurance that we plan to be here for the long-term.
Job Description
To provide a professional and efficient point of contact for project related external parties and site visitors, while carrying out support duties specifically for the Waihi North Project. In conjunction with providing a variety of other duties in order to support wider OceanaGold project support delivery.
Key Tasks and Responsibilities
Assisting the Administration Officer – Project Execution with the following keys tasks and responsibilities:
Housing & Accommodation Administration
Coordinate and administer ad hoc and long-term housing and accommodation arrangements for employees, key staff and contractors, including residential leases, camp accommodation and hotel bookings.
Manage contractual arrangements with accommodation providers, ensuring cost control, service standards, and compliance with company policies and project budgets.
Maintain accommodation registers, track occupancy, manage lease renewals, and coordinate check-in/check-out processes.
Ensure accommodation arrangements meet health, safety and wellbeing standards, for project-based personnel and contractors.
Company Vehicle, Leasing and Hire Administration
Administer company vehicle fleet operations, including allocation, leasing, short-term hire, and returns.
Manage vehicle leasing agreements and hire contracts, ensuring value for money and compliance with company policy.
Maintain fleet registers, insurance documentation, servicing schedules, and compliance records.
Coordinate vehicle mobilisation and demobilisation aligned with project requirements.
Oversee incident reporting, damage claims and liaison with insurers and hire providers as required.
Monitor fleet-related expenditure and provide cost reporting to project or operational leadership.
General
Meet and greet project visitors, consultants and contractors in a professional and friendly manner
Handling enquires in a positive and helpful manner
Ensuring visitors are correctly recorded in Visitor’s Register, sign in and wear Visitor Pass.
Longer term consultants or contractors are issued with appropriate cardkey access
Arrange new staff and contractor training inductions and IT/coms setup
Issuing of PPE gear, keeping records and monthly stocktake.
Mail and courier packages are delivered / distributed in a timely manner
Maintain and ordering stationery
Participate and assist with the emergency procedure
Control and management of archive records
Coordinating of the office equipment maintenance
Photocopying, scanning, laminating & binding as required
Maintain office stocks at Willows Road Project Management Office (PMO)
Provide clerical / data entry assistance as required
Invoices/statements received via post or email need to be stamped received and scanned to accounts payable
Raising of orders for goods/services, purchase order processing and receipting in Pronto (as appropriate)
Ensure consultant and contractor OG mandated training requirements are keep up to date
Team Environment
Build and maintain effective relationships to foster a high-performing team through engagement, clear communication, and motivation.
Qualifications
A relevant qualification(s) in business administration or relevant demonstrated work experience would be an advantage, although not essential.
Full and current NZ Drivers Licence (competent driving manual vehicles).
Experience
2-3 years’ experience in an office administration or similar role.

1 Year Fixed Term Contract (with potential for extension)
Full-time role
Monday to Friday
7:30am to 5:00pm (flexible)
On-call component (every second weekend)
