Ngā kōrero mō te tūranga - About the Team
Play a central role in supporting the smooth day-to-day operation of the University by coordinating facilities services and acting as the first point of contact for service requests.
Working within the Property Services team and reporting to the Maintenance Service Delivery Manager, you will provide high-quality customer service while ensuring service requests are accurately captured, prioritised, and assigned. This is a varied role combining coordination, administration, stakeholder communication, and operational support.
You will manage the flow of facilities requests, support contractor onboarding and site access, and ensure stakeholders are kept informed through clear and timely communication. You will also provide essential administrative and financial support, including work order management, asset data updates, purchase orders, invoicing, and reporting.
In addition, you will contribute to service performance by monitoring work progress, supporting KPI reporting, and identifying opportunities to improve systems and processes.
Salary will be in the range of $73,235 to $87,024 per year, based on the skills, knowledge, and experience you bring to the position. This is a full-time role (37.5 hours per week), based on our Hillcrest Campus.

- Proven experience in an administrative support role
- Strong customer service skills and a stakeholder-focused approach
- Excellent organisational skills and attention to detail
- Confidence using Microsoft Office and business systems
- Experience managing workflows, requests, or job coordination
- Strong communication skills and the ability to prioritise effectively
- Strong numeracy skills and the ability to work with financial processes
- A full, clean New Zealand driver licence
Experience in facilities, property, or a large organisational environment would be advantageous.
