Start Date: ASAP!!
Responsibilities:
Coordinate and schedule all door installation jobs, ensuring installers are allocated efficiently and timelines are met.
Communicate with customers to confirm installation dates, site access requirements, and any pre-installation preparations needed.
Liaise closely with the production and warehouse teams to track manufacturing progress and ensure doors are ready for dispatch.
Prepare installation packs, including job sheets, measurements, safety requirements, and any special instructions for installers.
Monitor installation progress throughout the day and provide support to installers with any on-site issues or changes.
Coordinate rework, adjustments, or follow-up service visits when required.
Maintain accurate records of installation schedules, customer communications, and job outcomes.
Ensure all installations comply with company quality standards and health & safety requirements.
Act as the main point of contact between customers, installers, and internal teams to ensure smooth delivery of installation services.
Identify scheduling conflicts or delays early and proactively communicate updates to customers and internal stakeholders.
Assist with warranty claims or post-installation issues by gathering information and coordinating corrective actions.
Provide backup support for the administration team, including assisting with order processing when required.
Maintain clear communication with suppliers and agents across the South Island regarding deliveries.
Manage stock levels and lead regular month-end stock takes.
Process invoicing using MYOB Advanced.
Communicate with transport providers to organise deliveries and logistics.
Track and manage tasks through building companies’ online portals.
Requirements:
Previous coordinator or office management experience, ideally within the manufacturing / warehousing industry.
Prior experience using MYOB and Excel is a must.
Strong communication and interpersonal skills, with the ability to work effectively with customers, installers, and internal teams.
Ability to work independently while also contributing positively within a team environment.
Strong customer focus, with the ability to understand and meet customer needs and expectations.
