Board Secretary
Self-employed – contract for service
The Board of Selwyn College/ Te Maru Pūmanawa is looking for a Board Secretary to assist with the effective and efficient provision of a secretarial duties for meetings of the board and committees of Te Maru Pūmanawa. Core to this will be responsibility for coordinating meeting minutes, resolutions and agendas to ensure the smooth running of board matters.
About us and the role:
Selwyn College is an Anglican owned accommodation provider for primarily first-year university students at Otago University. We actively encourage an inclusive, academic residential community, where mutual care, valuing and promoting the physical, mental and spiritual wellbeing of all our members is key. The board is a vital part of the Selwyn community, providing strong governance to the College.
We are looking for a self-employed person, who would like to support the college on a contract basis by:
· Acting as minute secretary for board and committee meetings;
· Preparing the meeting agenda in consultation with the Chair, Warden and Operations Manager;
· Attending and taking of meeting minutes as a true and accurate record, including all Board resolutions with a summary of any relevant background and discussion points;
· Obtaining approval of and distributing meeting minutes and any other correspondence to Board members;
· Collating meeting agendas and documentation and distributing to Board members prior to meetings;
· Compile and distribute induction manuals for any new Board members;
· Maintaining confidentiality;
· Other duties as required by the Board of Governors;
· Understanding the College’s special character, culture and Anglican Church ethos, including it’s three tikanga foundations (Māori, Pasifika, Pakeha).
What we are looking for:
· Experience in a board secretary or busy office environment.
· Strong communication and interpersonal skills to build rapport with board members and staff.
· An ability to quickly develop an understanding of residential collegiate life and the University environment and culture.
· Excellent organisational ability.
Meetings in 2026 will be held once a month on one Tuesday morning and Thursday evening with no meetings in December.
